Terms & Conditions: Booking

When the client makes a booking they must pay a deposit of 25% of the full fees. This deposit is non-refundable. Fees must then be paid in full no less than 28 days before the start date. My English Friends reserves the right to cancel any stay that has not been paid in full within 28 days before the start date.

Clients will receive confirmation details about their host teacher and travel instructions as soon as full payment has been received.

My English Friends reserves the right to change the client’s allocated host teacher before or during the stay if necessary. We reserve the right to recommend accommodation with one family and lessons with another, outside teacher in the unusual event that a host teacher is not available.

Payments

Payments must be made in pounds Sterling. All bank charges are payable by the client.

Cancellations by client

Cancellations must be made by email.

If a cancellation is made more than 14 days before the start date, we will refund all payments received, except for the 25% deposit.

If a cancellation is made 14 days or less before the start date, we regret that payments will not be refunded. However, we will change the date of the client’s stay, if possible, and payments can be used for the replacement booking. There is no time limit for rescheduling.

If a cancellation is made before the final balance is due (28 days before the start date), the client will lose the deposit but no further monies will be owed.

If the client arrives late or leaves before the end of their planned stay, fees will not be reimbursed.

There will be no refund due to illness or absence.

Cancellations by My English Friends

In exceptional circumstances My English Friends may find it necessary to cancel a booking. If so, we shall make all reasonable efforts to offer a suitable alternative.

Insurance and illness

My English Friends does not provide insurance cover for the client and it is a condition of booking with us that the client obtains their own personal travel insurance against cancellation, accident, illness, injury, loss of property, theft or any accidental  damage to property or damage caused by them to the property of others.

Under no circumstances can My English Friends be held responsible for any injury, damage, loss, delay or accident which may happen during the client’s stay with the host teacher, or as a result of activities they take part in during their stay, or whilst travelling to and from the host teacher’s home, or for loss of property. Neither My English Friends nor the host teacher are responsible for the client’s personal possessions. It is an explicit condition of enrolment that clients accept full financial responsibility for any damage caused by them to the host teacher’s property during the course.

All European Union clients travelling within the Eurozone are advised to get the European Health Insurance Card, in addition to personal travel insurance cover.

In the event of the discovery of any serious health problems and/or contagious illness, mental and/or physical handicap not disclosed at the time of booking, My English Friends reserves the right to terminate the stay and repatriate that client at their own cost and without refund of fees.

Rules of conduct

If a client breaches the host teacher’s household rules of conduct, My English Friends reserves the right to terminate their stay and repatriate them at the client’s expense. We also reserve the right to terminate the stay to anyone who is abusive to us, our host teachers or other clients. We will cancel the remaining stay and will not give a refund for these days.

Complaints

Any problems must be brought to the attention of My English Friends during the client’s stay. My English Friends cannot accept any retrospective claim or complaint. Any complaints will be dealt with during the stay with great delicacy and tact. My English Friends will do their best to deal with any problem quickly and efficiently. If necessary, we will move the client to a new host teacher with a minimum of disruption. Notification of any problem is the responsibility of the client. Feedback Form

In order to constantly review our programme, maintain high standards and continue to improve our service, we require all clients to complete our Feedback Form on completion of their stay. This will be given to them by their teacher when the course has finished.
